Committee & Conference Coordinator

Committee & Conference Coordinator – Mogaka Mongare


Key staff liaison and coordinator to conference and committees

Essential Duties and Responsibilities Include:

  • Provides clients with routine information and answers routine inquiries for all associations
  • Directs callers to appropriate departments (i.e., membership, accounting, meetings or exhibits)
  • Refers all projects to the appropriate individuals
  • Types memos, correspondence, reports, and other documents with approval
  • Collects and distributes mail and messages
  • Arranges for Board and Committee meetings when requested to include conference calls polling, scheduling, forwarding agendas and pertinent information necessary prior to call.
  • Supports the rest of the staff in times of need
  • Answers phones in a professional manner and responds to general information
  • Performs a variety of clerical duties as requested
  • Orders necessary supplies for the association
  • Keeps a calendar and notifies appropriate individuals (personnel and association volunteers) of all projects and respective deadlines
  • Maintains appropriate files and records
  • Provide project support including tracking of projects and documents, and scheduling and documenting meetings.
  • Monthly reports: Sending out reminders and tracking for duplicate projects or projects with similar goals. Follow up on any 'Support needed' issues.
  • Compiling requested information: History of Conference attendees and speakers; History of nominated committee and Council members; Conference reception/dinner costs; Mentor/Mentee tracking.
  • Coordinate conferences and seminars; exhibitor mailing and correspondence (confirmation, etc.)
  • Updating of the AfBSA website Affiliates information as needed
  • Assist with PowerPoint presentation and preparations of graphics.
  • Prepare and send correspondence to Council and committee members and outside contacts.
  • Support of Council, Team Leaders and Committee Chairs.
  • Forward outside inquiries to Council and appropriate members for response.
  • Research for all committees and Council as requested
